Types of Submission

JIDM welcomes research papers that both lay theoretical foundations and provide new insights into the aforementioned areas. JIDM also solicits surveys that should make a contribution to our understanding of related topics from the information and data perspective. Eventually, JIDM may publish reports of meetings and working groups organized to evaluate the future of a given research field.

JIDM and SBBD

ABOUT SBBD 2012

SBBD is the official database event of the Brazilian Computer Society (SBC). It is the largest venue in Latin America for presentation and discussion of research results in the database domain. In its 27th edition, the symposium will be held in São Paulo City, in the state of São Paulo, on October 15-18, 2012.

SBBD brings together researchers, students and practitioners, from Brazil and abroad, to discuss problems related to the main topics in modern database technologies. SBBD usually gathers nearly 500 attendees. Past editions of SBBD have been organized in cooperation with ACM/SIGMOD and partially sponsored by the VLDB Endownment. Along with technical sessions, the symposium also includes invited talks and tutorials given by distinguished speakers from the international research community. SBBD also promotes a Thesis Workshop, a Demos Session and a Poster Session as co-located events. In 2012, SBBD is co-located with the Brazilian Symposium on Multimedia Systems (WebMedia), creating an environment for exchanging experiences between two very co-related areas.

ABOUT JIDM

JIDM is an electronic journal that is published three times a year. Its focus is on information and data management in large repositories and document collections. Specifically, it relates to different areas from Computer Science, including databases, information retrieval, digital libraries, knowledge discovery, data mining, geographic information systems, among others.

JIDM and SBBD

Each year, SBBD has its own call for papers with specific topics and program committee. Submissions received between December and May are evaluated by SBBD PC members, while the others are evaluated by JIDM reviewers (note that there is a considerable intersection between the two sets of reviewers).

Once SBBD deadline has passed, the submissions go through a first round of revisions and the authors shall receive their reviews by middle June. These reviews may request the submission to be revised and the revised version must be submitted by beginning of July for another review round (the correct dates are published in the SBBD call for papers). The reviews and acceptances for the revised version will be sent to authors by middle August.

Very important: All full papers accepted for SBBD will be published in JIDM. All papers published in JIDM must have a presentation in the closest SBBD, according to the following agenda. All papers accepted by middle August will be published in the October edition and presented at the upcoming SBBD. Papers that are accepted after that date should be published in the February JIDM edition and presented at SBBD in the following year.

Submission Instructions

Research papers should have up to 16 pages, survey papers up to 20 pages, and reports up to 6 pages. The editors should be contacted if more pages are necessary. Papers must be submitted in a PDF file according to the journal format.

Each paper will be reviewed by three different peers. Accepted papers will be invited for presentation at the upcoming SBBD edition.

Very important: Although there is a word template, we strongly encourage submissions using latex, because authors must submit the camera ready versions in pdf and its respective tex sources. As an alternative, you can use simple translation tools to create your tex files, as for example rtf2latex

Submission Step-by-step

  1. Log into JIDM. If you do not have a login, you must register here (in the "make sure you check the box for Author; otherwise you will not be able to submit your paper).
  2. Select the Author webpage at the "Journal of Information and Data Management", or click here for the direct link.
  3. If you want to start a new submission, follow the five-step submission process which starts here
  4. FIVE-STEP submission process:
  • START: Define the journal section of your new submission (Articles for regular submissions; Survey for survey papers); check all the items in the Submission Checklist; if you have any comments for the editor, enter them in the respective box; press SAVE AND CONTINUE.
  • ENTER METADATA: enter the information requested for *all* authors; for each author, press ADD AUTHOR (make sure the authors names and order are the same in the paper file and in the metadata; you may change the order through the "Reorder" arrows); enter title and abstract (exactly as the paper file); select the language to be used in the indexing (default is English); identify any funding agencies that supported your work; press SAVE AND CONTINUE
  • UPLOAD SUBMISSION: using the "Upload submission file" box, upload the pdf file with your paper; press SAVE AND CONTINUE; 
  • UPLOAD SUPPLEMENTARY FILES: using the "Upload supplementary file" box, upload a zip (tar.gz or rar) file with your paper sources (tex, bib, figures and any other file needed to compile your sources); at the Title of supplementary file metadata, repeat the title of your paper with the word "sources" at the end of it; press SAVE AND CONTINUE.
  • CONFIRMATION: Double-check that your pdf file is correct; press FINISH SUBMISSION.

After submission

Once you have uploaded your submission, you may check all your submission in the "Active Submissions" option.

In that webpage, you may edit all information of your papers including replacing original files.

Camera Ready Instructions

In order to prepare the Camera Ready version of the paper, please note the following steps.

1. Do consider the detailed comments from reviews.

2. Do include the lines with volume, number, year and month to your tex file. They set up the correct footer (page numbers will be added by the editors later).

3. Please go to JIDM submission webpage, and check that all metadata regarding the paper is correct (i.e., authors' name and affiliation, paper title and abstract match those at the paper file). Note that the information on JIDM issue website is all based on such data.

4. In order to facilitate the edition process, we kindly ask you to submit your revised pdf file as well as its tex sources (including files for figures, tables, bibliography and any other that is necessary for compiling and generating the pdf), through JIDM website, as follows:

- log into JIDM website as Author

- go to your article webpage and click at the tab REVIEW

- at the end of the page, go to: Upload Author Version

- choose your compacted (zip, arj, tar.gz) file (with all files needed) and click UPLOAD

5. We kindly ask you to submit everything following the deadlines given by the editors.

6. Final review: please do check the list of most common errors next.

MOST COMMON ERRORS

  • files do not compile
  • refering to work as "paper": you should refer to your work as article (e.g., In this article, This article presents...)
  • jidm metadata different from pdf file: author names must be exactly the same in the pdf as in the metadata at JIDM website [including abbreviations and uppercase letters]
  • generic categories: the item "Categories and Subject Descriptors" should be other than "Databases" (since that is too generic)
  • wrong header: with two or three authors, the header is as "A. H. F. Laender and M. M. Moro"; otherwise, it is "Alberto H. F. Laender et. al." (use \markboth}
  • acknowledgments as section/subsection: acknowledgments must be in the appropriate place (using environment \bottomstuff)
  • long/wrong abstract: abstract should have only one paragraph; in the jidm metadata, it cannot have tex commands
  • incomplete/wrong references: *all* references must strictly follow JIDM template, i.e., conference/workshop papers with complete authors, title, proceedings name, year, paper initial and final pages, and city/country address (no series, no url, no date, no total number of pages, no publisher - see template example); journal articles must have authors, title, journal name, pages, both volume and number; double check the template for conference papers published on Lecture Notes; webpage can be footnote instead of reference
  • undefined references 
  • style: try to avoid orphan words (one word alone in one line), orphan lines (one line alone at the beginning of a page), single subsections (e.g., section 3, subsection 3.1, section 4); place figures and tables at the top [t] or bottom [b] of your pages
  • file compiles with warnings: try to eliminate all warnings, they may affect the final pdf
  • wrong characters: words in Portuguese (even inside bib file) must have proper characters (e.g., Computa\c{c}\~{a}o)
  • outdated template: check the website for the updated template (which corrected some errors from the previous one)

Second Round of Reviews

In case your paper is not accepted in the first round of reviews but requires minor or major review, here is the process of submission.
  1. Go to your Author page
  2. Click on the specific paper
  3. In the REVIEW panel, at the end of the page, go to "Upload Author Version", then upload the new version of the paper.
  4. Then, click on the mail-icon on "Notify Editor" and send an email to the editors with your answers to the reviewers (i.e., let the reviewers know which parts of your paper were modified, and answer their specific questions).
  5. After that, the Editor will start the second round of review by forwarding your answers and the new version of your paper to the reviewers.

 

 

 

Submission Preparation Checklist

As part of the submission process, authors are required to check off their submission's compliance with all of the following items, and submissions may be returned to authors that do not adhere to these guidelines.

  1. The paper follows the current template (recently updated on January 2012).
  2. Authors: there is one as the corresponding author; all authors have correct names, affiliations and emails (exactly the same in the paper file and metadata). Note that all authors in the PDF file must be registered in the metadata.
  3. Title, abstract, categories and keywords: title is correctly spelled; abstract has up to 300 words; categories follow the ACM classification; and keywords are in alphabetical order.

  4. The paper satisfies the submission requirements:

    • number of pages
    • figures are enclosed (including caption)
    • tables are enclosed (including title and description)
    • references are in the correct format for the journal
    • paper follows the available templates
